Scope and origin of the Data. This Privacy Policy also applies to Personal Data processed by 2erre Organizzazioni SNC in connection with the organisation and management of sports tournaments, travel, accommodation and related services, including where such Data is not collected through this Application. The Data may relate to contacts of Clubs/sports associations, athletes and participants (including minors), coaches and staff, family members, accompanying persons and other members of the group. The Data may be collected directly or may be provided by the Club, sports association, Team Leader or another appointed person. Where the Data is not collected directly from the data subject, Article 14 of the GDPR applies.
Categories of Data. Depending on the services requested, the following Data may be processed: first and last name; date and place of birth; nationality; address and contact details; Club/sports association and role; team, category and information necessary for participation; information relating to the stay and accommodation arrangements; identity document details where required for accommodation procedures; any vehicle-related information; and other information strictly necessary for the organisation of the tournament, trip or stay.
Purposes and legal bases. Data relating to Clubs and their contacts is processed for enquiries, registrations, organisational relations, bookings, payments, operational communications and administrative requirements, on the basis of the performance of a contract/pre-contractual measures where applicable, legal obligations or the legitimate interest of the Data Controller. Data contained in Player Lists is processed for registration, verification of categories/eligibility requirements and the sporting management of the tournament; Data contained in Rooming Lists is processed for bookings, room allocation, arrivals/departures and management of the stay. For these processing activities, where the data subject is not personally a party to the contract, the Data Controller may rely on its own legitimate interest and that of the parties involved in properly organising and providing the service, subject to an assessment of the rights and freedoms of the data subjects. Data received through Player Lists and Rooming Lists is not used for marketing or commercial profiling.
Recipients. The Data may be disclosed, only to the extent necessary, to tournament organisers/co-organisers, Clubs and sports associations involved, facility managers, accommodation providers, transport providers or other related service providers, IT/administrative service providers and public authorities where required by law. Such parties act as independent data controllers, joint controllers or data processors according to the role they actually perform.
Information provided to data subjects. 2erre Organizzazioni SNC makes this information available through its forms and digital channels. Where a Club or another contact person provides Data relating to third parties, they are required to make this information available to the data subjects – and, in the case of minors, to their parents/legal guardians – before the Data is transmitted. The Data Controller remains responsible for ensuring compliance with the information obligations required by the GDPR.
Minors and images. The processing of minors’ Data is limited to the information necessary for participation, sporting management and any related travel/accommodation services. Such Data is not used for marketing or profiling. Photos and videos of the event are managed separately: where the specific use requires consent, such consent is obtained separately and, in the case of minors, in accordance with the applicable rules on parental responsibility.
Retention and security. Data is retained for the time necessary for the relevant purposes and for any applicable legal obligations. Player Lists and Rooming Lists are retained only for as long as necessary for the management of the event and any subsequent checks. Details of identity documents collected for accommodation procedures are retained only for the time necessary for the relevant processing, unless legal obligations or the need to protect or exercise a legal right require longer retention. The Data Controller adopts appropriate technical and organisational measures to protect the Data and to limit access, duplication and retention.
Transfers and rights. Where the organisation of international tournaments or stays requires Data to be transferred outside the European Economic Area, the Data Controller applies the conditions and safeguards provided for under Chapter V of the GDPR. Data subjects may exercise the rights provided for under Articles 15-22 of the GDPR by using the Data Controller’s contact details indicated in this Privacy Policy.
