We at TORC Sustainable Housing Ltd. take personal privacy very seriously and take steps to ensure that your data is used and stored in a secure manner.

This Privacy Statement should be read in conjunction with the Tenancy Agreement.

• Your financial details and financial circumstances;
• Your marital status;

Sometimes we may use your information even though you are not a tenant, employee, or in some other capacity directly engaged with us; e.g. you may be a representative of a tenant of ours or a potential tenant applying for one of our properties, or a job applicant.

ii. Information provided to us by third parties, including local authorities;
iii. Information from your use of our website.

We use and share your data where:
You have agreed or explicitly consented to the using of your data in a specific way – you may withdraw consent at any time if consent is the basis on which data is being processed;
Use is required in relation to a service or a contract you have entered into – e.g. a tenancy agreement;
Use is necessary because we have to comply with a legal obligation - e.g. reporting to regulatory authorities and law enforcement;
Use is necessary to protect your ‘vital interests’ in certain circumstances;
Use is for our ‘legitimate interests, such as managing our business – e.g. managing our properties;
To inform you of our services.

We know that you care about how your information is used, stored, and shared. We at TORC take appropriate measures that comply with Irish Law. The IT systems we use meet international standards of security, while physical file storage is subject to safeguards, such as secure premises and filing systems.

In order that we may provide you with our services we may share your information with:

o We need to share your information to facilitate maintenance of our properties; and
o You ask us to share your information;
Service providers who provide us with support services, including IT systems and property maintenance;

While we do not wish to hold your information for longer than is required, we are subject to legislative and regulatory rules that we must follow. Our policy is to hold your information only for as long as is required by such rules, and for the duration of your use of our services.

In order that you may exercise your rights, TORC has implemented a data request process (Subject Access Request – SAR). This can be initiated through your direct contact with TORC.
