【Stage 1: Without an Account】
Before creating a Lincoo account, all stickies, notes, and other Content
exist only in your browser's local storage. No URL, no Content, no data
of any kind is sent to Lincoo servers.

【Stage 2: After Account Creation】
Once signed in, Content is synchronized to Lincoo servers. By default,
Content is associated with the URL of the page you were viewing when you
created it, so it can be redisplayed on the same page later — this is
the core feature of Lincoo.

【User control over URL association】
For every piece of Content, the User can explicitly choose to disable
URL binding using the "free-form" / "all pages" option. When URL binding
is disabled, no URL is sent to or stored on our servers for that Content.

【What is NOT stored】
- URLs of pages the User merely visits without creating Content
- URLs from any time before the User signs in
- Browsing history of any kind
- Page content (DOM, text, images)
- Form input or other website-specific data

【Technical detail】
For Content with URL binding enabled, we also store derived values
(lowercase domain, SHA-256 hash of the URL path) to enable fast
page-matching. These are used solely to match Content to pages and
never for tracking, analytics, or any other purpose.

Handling payments

Unless otherwise specified, this Application processes any payments by credit card, bank transfer or other means via external payment service providers. In general and unless where otherwise stated, Users are requested to provide their payment details and personal information directly to such payment service providers. This Application isn't involved in the collection and processing of such information: instead, it will only receive a notification by the relevant payment service provider as to whether payment has been successfully completed.

We collect your email address and display name for account registration, and store user-generated content (such as sticky notes and memos) that you create within the app. This data is saved on our server to provide the service. Access to the contents of this user-generated content is limited as described in the "Administrator Access to Space Content" section. We also collect technical data such as IP addresses and device information (e.g., browser type, operating system). This data is used for access control and security (including blocking unauthorized access), geographic region detection, and logging for troubleshooting and proper operation of the service. We may display advertising within the app. Advertisements are selected and served by us; we do not share user data with third-party advertising networks. We use your country (determined from your IP address) and language settings to show relevant ads.

Payments and paid-plan subscriptions are processed by Stripe. Card details (card number, expiry date, security code) are entered directly into Stripe's hosted checkout and are held by Stripe — they never pass through or get stored on Lincoo's servers. Lincoo does not collect or store your first name, last name, or credit card details.

In connection with billing, Lincoo stores on its own servers: Stripe identifiers (customer, subscription and invoice IDs), subscription details (plan, seats, status, billing period, discounts), billing-event history (amount, currency, date and Stripe reference), and the billing profile you provide for a paid plan (company name, country, tax/VAT number). The billing address you enter at checkout is collected and stored by Stripe, not on Lincoo's servers.

Administrator Access to Space Content

Within a space, space administrators (users with admin or manager roles within that space) can delete any item stored in that space, but cannot view the contents of those items — including the body text, title, and any associated URL. Space administrators are provided only with the minimal metadata necessary for management (such as the item's ID, owner, visibility setting, group, and last-updated time).
This restriction is enforced at the server level: the contents of items are not transmitted to space administrators, so they cannot be accessed by any technical means. Space administrators also cannot search item contents or infer the existence of items by keyword.
Access to the contents of an item is limited to the users the creator designated as its audience when saving it — the creator, the users or groups the item is addressed to, or everyone, depending on the chosen visibility. This applies between regular users as well: users cannot view, search, or otherwise access private items created by others that are not addressed to them.
As the service provider, Lincoo accesses the contents of user items only where necessary to provide or maintain the service, comply with a legal obligation, or prevent fraud or abuse. We do not access user content for any other purpose. Unlike space administrators, Lincoo operates the servers and therefore has technical access to stored data, but limits its own access as described above.
Exception: We may disclose content only where required to comply with a valid legal obligation, such as a court order or a lawful request from law enforcement, and only to the extent necessary to meet that obligation.

Legal basis of processing

The Owner may process Personal Data relating to Users if one of the following applies:

  • Users have given their consent for one or more specific purposes.
  • provision of Data is necessary for the performance of an agreement with the User and/or for any pre-contractual obligations thereof;
  • processing is necessary for compliance with a legal obligation to which the Owner is subject;
  • processing is related to a task that is carried out in the public interest or in the exercise of official authority vested in the Owner;
  • processing is necessary for the purposes of the legitimate interests pursued by the Owner or by a third party.

Unless specified otherwise in this document, Personal Data shall be processed and stored for as long as required by the purpose they have been collected for and may be retained for longer due to applicable legal obligation or based on the Users’ consent.

Therefore:

  • Personal Data collected for purposes related to the performance of a contract between the Owner and the User shall be retained until such contract has been fully performed.
  • Personal Data collected for the purposes of the Owner’s legitimate interests shall be retained as long as needed to fulfill such purposes. Users may find specific information regarding the legitimate interests pursued by the Owner within the relevant sections of this document or by contacting the Owner.

The Owner may be allowed to retain Personal Data for a longer period whenever the User has given consent to such processing, as long as such consent is not withdrawn. Furthermore, the Owner may be obliged to retain Personal Data for a longer period whenever required to fulfil a legal obligation or upon order of an authority.

Once the retention period expires, Personal Data shall be deleted. Therefore, the right of access, the right to erasure, the right to rectification and the right to data portability cannot be enforced after expiration of the retention period.

In particular, Users have the right to do the following, to the extent permitted by law:

  • Object to processing of their Data. Users have the right to object to the processing of their Data if the processing is carried out on a legal basis other than consent.
  • Access their Data. Users have the right to learn if Data is being processed by the Owner, obtain disclosure regarding certain aspects of the processing and obtain a copy of the Data undergoing processing.
